TECH TIP

KeyFree Indexing Tools

Here we have a well-known feature of SmartSearch that is widely utilized but contains some time saving "tools" you may not be aware of. KeyFree Indexing provides users with the ability to capture, extract and index pertinent information from document images and instantly populate SmartSearch with the selected data. Rather than manually entering data with several keystrokes, users simply click on the word (or words) within the document they want to capture and the field is dynamically populated into the SmartSearch field.

While this can be a huge time saver, that pertinent information is not always consistent across all documents which can result in inconsistencies within your SmartSearch fields. We have addressed and outlined some of the more common inconsistencies in the linked technical tip which should aid in keeping manual data entry to a minimum.

Paperless Accounting; Our Approach Now Includes Paperless Billing

Like the customers we serve, the team at Square 9® is always looking for ways to better improve our business, our support, and our productivity. It is no secret that we promote a philosophy of paperless business transactions and feel we should lead the way by acting as an example to our customers and resellers.

To further promote our paperless agenda, we are just wrapping up the implementation of a new financial system that will take our accounting department completely paperless. By leveraging our new ability to directly email Invoices, Statements and Credit Memos; we're projecting a completely paperless Accounting process by February 2012.

Not only will this have a major impact on our own productivity, it will also allow our resellers and customers to take full advantage of paperless billing. Why sift through piles of mail and paper to look for our communications when you can set-up SmartSearch to monitor an email folder that can properly route documents to the correct contacts. With so many vendors now standardizing on e-billing, setting up an email address for AP@company.com is a great way to start the New Year with less paper.

We will be reaching out to our customers and resellers in January to get you set up in our system for e-billing but if you are interested in becoming an early adopter, please email us at marketing@square-9.com and provide us with the email address where you would like your invoices sent.

New Extended Support Hours Launch on January 23rd

At Square 9® we pride ourselves in offering the best support possible. With more and more customers taking advantage of our free product education classes, we have seen an increase in the volume and sophistication of our support calls. These increases are primarily based on users wanting to put to use what they have learned so that they can expand their applications. As a result we feel it is critical to provide prompt, high level support as our customers explore the various tools for making the most of our products.

As a result we have made several staffing changes which we feel will not only maintain but also increase our responsiveness. With these changes to our highly trained support team we are projecting a 90% real time response to support requests in 2012. Our goal is to maximize real time response while minimizing the need for return call backs.
