Document Follow-up Workflow

One of our Sales Engineers, Dan Walsh, was working on a custom demonstration and designed some conditional workflow routing that we felt could benefit a lot of users. This example ties closely to a bank but can be used in many different scenarios.

A bank was looking for a better way to manage follow-ups on a document called a history sheet. They wanted to know if the system could send an email out 30 days before the expiration date of the history sheet. When expired, they also wanted an email to go to the manager. Dan used date math in the condition statement of the document workflow along with configuring views in the archive to provide an overview of where documents were in the process.

Understandably we receive steady inquiries from customers asking whether they should upgrade with each release or whether it's better to sometimes wait. Given that upgrading your SmartSearch installation takes time and possibly money to apply (depending on who is applying the update), it is certainly a question that deserves your careful consideration. As a result we felt we should detail how upgrades actually work and some of the factors that could impact your decision.

Construction Company Increases Information Access Times while Improving Customer Service

The Contracting Industry is certainly not without its paperwork. Just ask Cherry Hill Construction, specializing in site work demolition and Asbestos abatement. Cherry Hill Construction is a family owned and operated company which has served the Connecticut market for more than 50 years.

On any given day Cherry Hill Construction will process hundreds of transactions consisting of a variety of documents including; Order Tickets, Delivery Tickets, Pick Up Tickets and of course the payment record. All of this paperwork needs to be accessible for servicing customer accounts but it also needs to be retained for 7 years as mandated by the IRS. The process for managing all of this paper in the past was to simply bundle each day's work into packets which would be boxed by the month for future reference.

Sneak Peek into v3.2.3

New Export Options

SmartSearch 3.2.3 which is scheduled for release on 12/1 introduces new options for exporting document including automated conversion to PDF on output (with or without annotations) and naming the exported file by a specified field value. These features are handy in a variety of applications where documents are to be shared with users outside the system including vendors or customers.


CAD Support

SmartSearch 3.2.3 also now supports the viewing of AutoCAD documents in DWG and DXF formats. Drawings containing multiple layouts are represented as multi-page documents. The CAD drawings are read as rasterized images which can be manipulated using any of the standard viewer features including zoom, pan, annotate and sign. CAD drawings may also be launched for editing, exported to PDF, or exported to its native format.
