While SmartSearch was originally designed to optimize capture through the multifunctional device, there are many applications where a production scanner is required to optimize the capture workflow. Especially relevant are applications where the source documents are of poor quality and the image requires enhancement or where batch scanning tools are required.

Square 9 Softworks has answered this call with a production scanning module for SmartSearch called SmartCapture. SmartCapture is an application that requires very little end user configuration and takes full advantage of the Capture Workflow components embedded into the core SmartSearch solution.

SmartCapture is core to SmartSearch and works using a batch capture and release methodology which allows users to scan records then adjust and edit the images as needed before committing them to the SmartSearch Inbox or Archive.

SmartCapture will hook to any TWAIN based scanning device and can also leverage powerful third party tools such as Kofax VRS to further enhance image quality including auto orientation of the image or sanding and filling of fonts to maximize OCR recognition.

Features within SmartCapture
SmartCapture has been enhanced to provide a better solution for production class batch scanning through a dedicated capture device. The new interface provides a variety of benefits including:
• Easy to use interface with the familiar look and feel of the SmartSearch viewer
• Twain based scanning support
• Batch based capture with the ability to Scan, Edit & Save
• Certified with Canon, Kodak, and Fujitsu Scanners
• Image Preview & Editing available
• Pre-Index records at the time of Scan
• Direct Access to Inboxes or Archives through standard SmartSearch Capture Workflow Processes.

By linking SmartSearch Archives and inboxes directly with Capture Workflow processes, configuration time is greatly reduced while dramatically improving ease of use through pre-defined scanning processes.

Those Capture Workflow actions that start with the ImportScans activity will display in the Destination pick list. By scanning in batch, documents captured through SmartCapture get scanned to a network directory where the Capture Workflow service will monitor on a timed basis and apply the server-side image processing engines (i.e. zone OCR, barcode, separation, PDFCreator) defined in the Capture Workflow script. The outcome is a more powerful, faster scan and index experience for the end-user - no need to wait during the scan process for documents to be OCR'd, enhanced or data extracted, which ultimately slows down productivity.

Additional SmartCapture Capabilities include:
Pre-indexing Documents at time of Scan – Documents can now be indexed at the time of capture. By selecting the capture destination you define the index fields to be used for capture. Documents scanned to an Inbox can also be named at capture.

Key Free Indexing – The highly popular KeyFree Indexing feature has been included within SmartCapture so that scanned images can be indexed as they are within SmartSearch through the use of OCR assisted indexing.


Full Viewer Functionality – Images can be manipulated, enhanced and rotated after capture but prerelease to SmartSearch. This is achieved through the familiar tools found within our standard document viewer.

Thumbnail Image Manipulation – cut, copy, paste or delete pages from a scanning image prior to releasing to SmartSearch. Users can also re-order pages by dragging and dropping the thumbnails. Electronic documents can also be inserted or replaced into the scanned image, allowing both image and electronic documents to coexist within the scan process.
