2010 was a great year and we want to thank all of you for being a part of the SmartSearch family. Looking into next year we are excited for the release of, drumroll please, SmartSearch version 3.1 which is slated for early February 2011. SmartSearch 3.1 includes the highly anticipated Check-in/ Check-out functionality and enhanced revision control features, just to name a few. For anyone interested in becoming a beta test site for SS 3.1, make sure to check the Support & Developer Forums for upcoming announcements and information.

Manufacturing Producing Mass Paperwork; Sales Orders Lost before SmartSearch

Too much paper to control?

Durst Corporation enjoys a well-deserved reputation for personal service and rapid order fulfillment. Even so, this fast-growing company found it had a problem: some incoming sales orders were getting lost, hindering its ability to deliver the outstanding customer service for which it is known. In addition, its paper-based sales order processes were cumbersome and the company had no way to measure and track orders.

SmartSearch 3.1 – Check it out!

SmartSearch 3.1 introduces a powerful new tool for business collaboration with the release of its Content Management module; which includes features like revision control, publishing documents, and check-in/ check-out functionality. With these new tools, working with “living” documents where users need to collaborate while maintaining versions and document controls becomes highly intuitive. The Content Management module will be part of the core SmartSearch product and available to all customers with an active support agreement.

Revision control can be set at the Archive level from the administration tab. For documents to be version controlled, an administrator sets the property by modifying an existing archive or when a new archive is created. Revision Controlled documents are stored in one of two states within SmartSearch; published or unpublished.

A published document is a “finished” document where users have completed the collaboration process and now wish to share this with the rest of the user community. Published documents are visible to any user with permissions to that archive and Archive level feature permissions have been implemented to enable access to document revisions for a particular security group. Whereas, an unpublished document is a work in progress and is therefore only viewable by users with access to document revisions.

Revision controlled documents may be checked-out so that changes may be made to the document outside of the system. In this process the document is locked within SmartSearch so that no other users in the community may make edits to this revision. After a user has completed their edit process on a document, they must check-in the document so that it is available for further collaboration or publishing. When a document is checked-in, the user will be prompted to select a file from the file system to check in to the new version.

Square 9 Softworks will be launching the beta version of SmartSearch 3.1 in January of 2010 for a 30 day field test. If you have interest in applying for this program or would like to learn more about our latest release, please contact your Regional Sales Manager for more information.
