Introduction
• Faxing has long been a staple of the corporate office setting. Over the past few years the technology of faxing has greatly improved the productivity of office workers by incorporating several of the advanced capture technologies you may see today within advanced document management software.

• By offering OCR, ICR, bar code recognition, image enhancement capabilities, companies now have the ability to automatically classify, extract semi or un-structured data and route faxes electronically - this has provided several advantages specific to business functions such as: sales order entry, AP/AR related functions, healthcare claims processing, manufacturing documentation, etc

• With the advent of MFP (multi-function peripheral) and digital photocopiers companies can leverage these machines for distributed capture, allowing the fax server to act as a remote capture point into SmartSearch. Now geographically distributed offices and workers can continue to collaborate, communicate and retrieve critical documents from the central SmartSearch repository

• SmartSearch having roots in systems integration have partnered with the leading fax server vendor BISCOM

• SaaS (Software as a Service)– for those companies wishing to outsource the receiving and sending of faxes, this hosted solution will provide browser based access to faxes via the Internet
• BISCOM Delivery Server – for those industries that require secure delivery of ftp documents, faxes or email. BDS also provides numerous security and reporting features to control and audit access to the secure delivery.

What Is It?
• BISCOM is a best-of-breed solution that leverages the robust capabilities of BISCOM’s FAXCOM fax server and seamless integration with the SmartSearch product line.

Using pattern matching OCR and ICR, SmartSearch Fax can cleverly classify fax images based on the text pulled from the image. Using this technology, fax images that have been classified as invoices can be routed to the AP department without any manual intervention. Data from the fax image can be validated against ODBC compliant data sources

Workflow Example
Sales Order Processing
• OCR is performed on each received fax to obtain the “Order #”
• A barcode scan is performed on each received fax to obtain the “Customer ID”
• An ODBC database lookup against the Customer ID obtains a UNC path for the Customer and also their “bill-to” information and credit terms
• Fax formatting

– The fax is converted to Searchable PDF
– The fax is renamed to include the Order # and the date
– The fax is delivered to the correct UNC along with a CSV file containing the “bill-to” information and credit terms
– Or The fax is seamlessly imported into Smart Search

Business Case
• One of the leading healthcare providers in the Chicago region, implemented distributed capture via fax server.

• Physicians now submit insurance claims via fax, where the companies FAXCOM advanced fax routing service classifies the fax by physician, patient and healthcare location and then drops the faxes with XML data to a directory where a script service populates the document management system.

• This input triggers a workflow automation to one of several workers. The fax server classifies the incoming documents as either claims, prescription requests, CMN (certificate of medical necessity), insurance documentation, physician credentialing documents like transcripts, medical certificates, recommendations, application, etc – routes the document to the correct department and sends notification with variable data about the fax to a known departmental email address.

• By implementing “Smart Faxing”, the company realized significant FTE savings as well as gained increased speed in processing requests.
