Sales Order Processing
• OCR is performed on each received fax to obtain
the “Order #”
• A barcode scan is performed on each received fax
to obtain the “Customer ID”
• An ODBC database lookup against the Customer ID
obtains a UNC path for the Customer and also their
“bill-to” information and credit terms
• Fax formatting
– The fax is converted to Searchable PDF
– The fax is renamed to include the Order # and
the date
– The fax is delivered to the correct UNC along
with a CSV file containing the “bill-to” information
and credit terms
– Or The fax is seamlessly imported into Smart Search


Business Case
• One of the leading healthcare providers in the Chicago
region, implemented distributed capture via fax server.
• Physicians now submit insurance claims via fax,
where the companies FAXCOM advanced fax routing service
classifies the fax by physician, patient and healthcare
location and then drops the faxes with XML data to
a directory where a script service populates the document
management system.
• This input triggers a workflow automation to one
of several workers. The fax server classifies the
incoming documents as either claims, prescription
requests, CMN (certificate of medical necessity),
insurance documentation, physician credentialing documents
like transcripts, medical certificates, recommendations,
application, etc – routes the document to the correct
department and sends notification with variable data
about the fax to a known departmental email address.
